A press release is a short, compelling news story written by a public relations professional and sent to targeted members of the media. The goal of a press release is to pique the interest of a journalist or publication. The press release should contain all the essential information (who? what? where? when? how? and most importantly why?) for the journalist to easily produce his own story.
The last one sounds harsh, but is probably the most important: you might be excited about your new marketing director or the launch of your new product, but will anyone else be interested? If the answer is no, hold off on that press release until you’ve got a better story.
This could be something controversial, something interesting, or something emotionally engaging. Avoid at all costs something bland, vanilla or dry. It’s better to leave this out entirely if you can’t think of anything relevant.
The bottom line is that if your event is boring, your press release may be yawn-worthy as well, and no one is going to want to run with it. You’ll also want to avoid dry, rigid wording for this reason. You don’t want to lose your reader with the first sentence. Using quotes can liven things up. A press release is not just a rendition of facts. 
Keep in mind, however, that effective distribution services come with a pricetag. However, there are a range of price points. We generally advise clients to decide on a price point based on their releases’ importance. The more newsworthy, the more it may pay to up your spend.
Tie it together. Provide some extra information links that support your press release. Does the company you’re selling have additional information online that readers may find useful? Great. Add it in.
Brainstorm. Collaborate with business owner on a newsworthy topic and talking points of press release. If we are promoting a specific product or service page, make sure that page on the client website is complete, proofed, edited and optimized for Google.
You need to have something new and important to say. If your client simply wants to promote a product or service because it’s not selling well at the moment, you can’t just write about its benefits as you would in an ad or brochure.

And television stations are a different story entirely. If you’re trying to get air time for an event, send out your press release to your local TV stations at least two days beforehand. Since news varies from day-to-day, a car crash can prevent stations from covering your event. But your chances are even lower if they receive your press release the same day.

RULE #4: Provide some good quotes. Even if your CEO is a complete idiot, don’t make him sound like one by providing a quote that’s a series of business clichés. Have him say something memorable and personal, if possible.
In the next paragraph, include a biography about the speaker or group that is coming to campus. This may begin with a short description of the person’s job and additional title information, and about the company/organization they are with. If your event is a performance, also would be appropriate to include a description here.
Another point. When sending a press release to an editor, the best way to send it by copying and pasting the press release as text in the email. (Never send a press release as an attachment.) Here is the argument against my statement above. I always attach the press release to the email and I’ve never had a problem. My counter argument is, How many times have editors rejected your press releases due to it being an attachment and you did not even know this? Here is why I say put the press release as text in the email and NEVER send it as an attachment to an editor. 1) What program does the editor use to publish their press releases? InDesign or a web program. Translation: The editor or writer has to COPY AND PASTE your press release into another program to get it published. 2) An editor what? Received tons of emails every day. Put yourself in the editor’s shoes. The editor is trying to open and get through hundreds of emails every day. If an editor opens an email and finds text in the email, he/she/trans can IMMEDIATELY READ THE PRESS RELEASE and can decide IMMEDIATELY, if they want to publish it. If the press release is attached as a Word document, the email can easily be ignored or deleted. Also the editor, another writer or graphic designer can copy and paste the press release directly from the email into InDesign or a web program. Or they can copy and paste the press release into their own Word document WITHOUT having to TAKE THE TIME TO OPEN an attachment. Also, a publication might have a policy which DOES NOT ALLOW ANYONE TO OPEN AN ATTACHMENT due to the treat of viruses.
