Too many quotes are put into press releases simply to acknowledge the presence of a CEO, partner, sponsor, client, etc. There’s nothing wrong with having endorsements, just make sure they say something worthwhile.

It’s essential to research the press and media you will be targeting with your press release. Get hold of back copies of publications, and tune in to relevant radio and TV programmes. This will enable you to tailor your story to suit.
Send your release by email, and use formatting sparingly. Giant type and multiple colors don’t enhance your news, they distract from it. Put the release in the body of the email, not as an attachment. If you must use an attachment, make it a plain text or Rich Text Format file. Word documents are acceptable at most outlets, but if you are using the newest version (.docx), save down a version (.doc). Newspapers especially, are on tight budgets now, and many have not upgraded. Use PDF files only if you are sending a full media kit with lots of graphics. Don’t type a release on letterhead, then scan it and email a jpeg of the scan––that’s a waste of your time and the editor’s. Just type the release straight into the email message.

It is where the meat comes in. In your second paragraph, add some color to your project. Obviously, what you include in this paragraph depends very much on what you’re promoting, but for instance, describe the music – comparisons are always a little tricky, but a few comparisons to other artists give the reader at least a frame of reference. Highlight the reason why your story is unique. List your tour dates. Use this paragraph to give information that a member of the media could use to tell your story. In other words, your first paragraph tells them Artist X is doing Y. The second paragraph might give them Artist X is doing Y because of Z.
Criteria: When developing this list, I looked at several variables, such as: Alexa ranking, Page Rank, credibility indicators, and style. Sites that didn’t make the rank included: simple blogs, industry specific, dead sites (no recent press releases), and sites with broken navigation or ordering systems.
Then, there is another school of thought that if you have the time and energy, you can post on as many sites as possible and get more sustained traffic and visibility to your site. If you’re so inclined, here is a list of over 60 free press release distribution sites, compiled by Press Release Point and they will even post to all those sites for you…for a modest fee. It kind of defeats the purpose of using free sites but for a few dollars, it could be worth saving your valuable time.
If you have a public relations budget, you can also send your release to a wire service for broad geographical distribution. Small companies can distribute through PRWeb.com for as little as $80, Black says. Other such as Businesswire.com and PRNewswire.com are pricier but will expose your release to a broader audience.
