This paragraph is known as the boilerplate — an old newspaper term meaning a block of standard text that’s used over and over again (e.g. the explanation of symbols on the stock price page). In this case, it’s text that you might use at the bottom of all your releases.
My strategy was to present FreightCenter as an exciting place to work where there are many opportunities to grow. Right away, I supported this claim in my lead when I said FreightCenter will announce “a major overhaul of its company positioning and brand.” This statement was purposely used to create curiosity so the reader would continue reading. When writing a release, it’s very important to catch the reader’s attention in your lead. Do this by providing the most important information in a way that will compel the reader to read on. To further support my claim and satisfy the reader’s curiosity, I included a quote from our COO Doug Walls in the third paragraph. The quote should answer any questions the reader might have.

With that being said, a few years back, Google started to realize that paid and free press release distribution services were simply being used as a spam tactic, so it has taken a more hardline stance on using them.

To make it clear to members of the press – reporters, writers, and editors – that the information you’re giving them is a press release for their use, and not an advertisement or letter to the editor, you need to send it in press release format. Yes, there is a specific format you should use when preparing a press release. Here are some of the key features:
What is it about your production that makes it newsworthy? If you can’t think of anything, the chances are it’s not. Not every single film and TV production on earth has to be covered in the media. But if there is something special about your production, OPEN with that.
If any further information is needed, these can go in Notes to editors under the contact information. Examples might include background information on the company (called a boilerplate), or a note saying that photos are available. When you have done something as unique and fun as we did, such as returning the whole rubber duck industry back to America where it began, it’s a cool emotional story that strikes an emotional chord in people regarding US manufacturing and thus gets a lot of attention in the media. Start a press release with an attention-grabbing headline in bold font. Begin the body copy with the date and city that the release is from. Your lead sentence should be a concise summary of the subject of the release. The rest of the body tells all the important details of your story: who, what, when where why and how. Put the most important information first, followed by more general information, and don’t forget to include your information at the end.
The first paragraph should not be longer than three to four sentences and should contain at least the primary benefit of the product. Don’t make the boilerplate longer than 100 to 150 words; the majority of the word count should be located within the body of the press release. Keep your press release within the 400 to 500 word range for offline distribution, and the 300 to 400 word range for online distribution.
A common oversight that can render a press release ineffectual is a lack of contact information for reporters to follow up with. Whether you or someone else at the company is the point of contact, don’t forget to include an email address and phone number on the release (preferably at the top of the page).
