I originally wrote a more traditional (read: boring) release around our company’s 25th anniversary but after getting bored just proofreading it, I decided to scrap the whole thing and make it something people would actually enjoy reading. The press release not only conveyed our message, but by taking a tongue-in-cheek approach, it also conveyed our brand’s fun-loving personality.
It’s not a bad idea to have a standard-issue press release with some contact information and details about upcoming dates. Try to be pithy, and get to the point. No one cares your band is on tour except you and your parents, so don’t lead with that right out of the gate.
Editors at press release distribution services, newspapers, and online news websites are stringent. You’ve got to bear in mind that they are all fervent studiers of the English language, AP style, tone, and prose. They don’t see any wiggle room in proper grammar or adherence to style; they see only black and white with no spatial gray area in between.
This press release was successful because obviously the content was of interest to the media and it a catchy attention grabbing headline. I feel that we used the narrative to not only gain interest in the story, but to gain sympathy and understanding of the author’s plight, which contributed to the press release success (more than 5,000 hits). One must tell a compelling story in a limited amount of space in a press release. It’s more than the who, what, when, and where model. You want the reader to be drawn in immediately.
However, you do need to know the format of a book press release and some best practice advice on writing one.  Remember, a legitimate editor is more likely to accept a press release on your book if it’s properly formatted and they don’t have to do too much work on it.
A press release should consist of three to six paragraphs where you provide all the relevant facts and information a reporter should use to write a story. The most important information should be listed first, with the least important information appearing in the final paragraph. Each paragraph should consist of three to six sentences written in the third person. You should maintain an objective tone and avoid hype. The average press release consists of 500 words or less. Another trick is to imagine your story is going to be covered on a TV or radio programme. A presenter generally has around 5-6 seconds to introduce each item eg And coming up next … why a local cafe owner is giving a free coffee this weekend to anyone born in July. If your story was going to be featured on the radio today, how would the presenter introduce it? Asking yourself that question should give you the top line of your story.
I love the professionalism and sleekness of all of these templates! My husband’s company has been wanting to get their name out more, and this might be a great way to do that. I like the emphasis you have in each type of press release to tell a story, because that’s really how you get people interested; not many people want to read an article about the technicality of a new product, but if you can tell a story about how it helped someone specifically, it makes great PR.
Start with the date and city in which the press release originates. The city may be omitted if it will be confusing –– for example if the release is written in New York about events in the company’s Chicago division.
