You don’t want to pique a journalist’s interest only to have that person scrounging and searching to find who to call for more information. Contact information can either be at the top or bottom of the page and should include the name, e-mail, and title of whomever the media contact for the story is. Usually, it will be your company spokesperson or a dedicated staff person familiar with the topic who can answer reporters’ questions.
I’ve been a tech journalist for 20+ years and I couldn’t agree with Craig more: (a) there are some very good pointers in this article, but (b) watch out for the message coming across as a template-driven thing, and (c) for God’s sake never, ever send me a press release as a Word attachment! I honestly never look at them. Well, not unless I already know something about the topic and I know the sender. And then I’ll ask them to please not send me things like that any more. I know it sounds like a very grumpy attitude, but it’s just how it is. I’m sure the majority of journos feel the same about press release attachments. By all means consider these structure pointers but just put it all into the email body!
6. Get in touch with industry bloggers and send them the PDF of your freemium. Include a link to the RCLP and a short bulleted list of take-aways to make their job easier when reviewing the product. Collect their Twitter addresses too, so you can @ them (just once, don’t be that guy!)
Who – What – When – Where – Why – How. Almost all newspaper stories start off by answering most of these questions. Try to answer these questions in your story. For example: Sherry Smith won first place in the Cutest Pet contest yesterday at Columbia Mall. Check your local newspaper for more examples.
4. Body. The body of the press release is where you really get to tell the story of the event. This portion of the release will usually have two or three paragraphs. Use the first paragraph to elaborate on the details of the event. Talk about the target audience, any guests who will be featured and their background, and the benefits of attending. If the venue is historic or ties in with your event in some way or the date coincides with history or a special anniversary with your company, mention this. This part of the press release can be a bit more descriptive than previous sections.

When composing your press release, collaborate with team members and other writers you trust. Ask for feedback. Send test emails with different subject lines to ask your team to rate how they responded to reading them. It’s also good to have someone other than yourself to proofread the final version.

Research includes interviewing people — such as a professor or doctor or coach — who know the facts. Those same fancy PR tools I mentioned earlier enable PR pros to mass-email your release to as many journalists as they want. This is a terrible feature and PR reps as a whole will get a much better reputation if it ever goes away. There are even “coverage wizard” options that will auto-pull lists of journalists, editors and producers for you based on a specific beat. While this can be a good starting point, it’s important to A) research each person before you reach out to them, and B) never mass pitch everyone at once (in case I haven’t made that clear enough yet).
I do not understand why you’d add a Word template in this time of the social media press release. modern approach is to pitch a succinct press release like you describe via mail, and to link to an online (social media) press release. Such a release can be linked to on social media and can get picked up by search engines. It’s excellent to increase your exposure. As you start to write your press release, come up with the creative angle first.  Take off your sales hat and think about it from the reader’s perspective:  why should I care, and what makes it special?  Once you have your angle, then state the facts which support the news as objectively as possible.  This will help give your press release the right tone and allow you to fit it more easily into the accepted format.
Do not waste time writing the headline until the release is done. Copy editors write the real headlines in newspapers and magazines, but it is good to come up with a catchy title or headline for the release. This headline may be your only chance. Keep it concise and factual. It’s a good idea not to write it until after you finish the press release. You don’t know yet exactly what you—–or those you interview, will say. When you have finished a draft of the release, you may decide to revise your lead—or not. Then, and only then, think about the headline.
