The first paragraph should sum up your story in about 50-100 words. You don’t have very much time to get to the point so make every word count. Avoid including boring self-promotion and focus instead on the 5 W’s: Who, What, Where, When and Why. These questions will get to the point of your story in no time.

In order to do that, you’ll first have to come up with a story. It may be that you’re releasing a quirky product, sponsoring a charity event or have discovered some intriguing market insights. Writers and journalists are always looking for good story opportunities to post on their publication’s website – no matter the size or amount.  In many cases, any legitimate story is better than no story.
However, most press releases never accomplish that. Most press releases are just spray and pray. Nobody reads them, least of all the reporters and editors for whom they’re intended. Worst case, a badly-written press release simply makes your firm look clueless and stupid.
To make things easier for bloggers and arts editors, make sure you have your social media assets available for easy re-use. You can prepare images that share nicely on social media or even offer a few pre-made shares for Facebook and Twitter and link to these from your press release.
A note about press releases being accepted for ‘publication’ by the sites: we have (as you might expect) a lot of experience writing press releases that meet the rules laid down by various news wire services (e.g. don’t make claims about being the ‘best’ something unless you can prove it). However, not all of the sites accepted our releases, this may be because they didn’t meet the site’s editorial guidelines or for some other reason – why some sites rejected our press releases isn’t at all clear.
Writing the story. Start with a good lead — a sentence that grabs your reader and makes her want to read more — for example, The fourth grade class painted one wall of their classroom with a picture so strange that their teacher immediately sent for the principal. Write your story plainly so that everyone can understand it. If possible, use quotes in your story to make it more interesting – for example, The flames were so hot I thought my helmet would melt, the firefighter said. And remember to answer the questions Who – What – When – Where – Why – How.
A premium website, however, will aggressively pursue journalists and work to ensure clients receive traffic for their PR, but this might not be necessary if you’re announcing a minor bit of news that doesn’t require such a large-scale PR effort.
WARNING: What I’m about to show you can be a very effective marketing tactic.  But in the wrong hands or done without taste can easily be spammy and crummy.  So, please use this knowledge for good and apply some of my Kindlepreneur principles as you step through this.
It can be tempting to provide superfluous facts and tidbits about your company or the development of your announcement — we sometimes think a piece of writing is lacking if it isn’t drawn-out and just shy of being a novella. However, a press release needs to be helpful and concise.
So instead of stuffing your next release with jargon, take a page out of our book (okay, fine, ebook), The Newsworthy Guide to Inbound Public Relations, and brainstorm some creative approaches for your next announcement. Can you include new data? A remarkable graphic or video? A shareable SlideShare? If so, a creative angle will often help carry your content and increase the likelihood of social sharing. 
Don’t send large bulk emails. Some channels don’t want any email attachments or accept press releases only via their website. Find out about their preferences and send either individual emails or BCC’ed emails to small groups with similar requirements. When approaching a content producer individually, let them know that you’ve actually read or watched their work and understand the subjects they cover. Be genuine, not a suck-up.
