Hello. Although I personally reckon this post is a bit prescriptive (I prefer devs to just say Hey, I’ve made a NEW THING! Here it is!, there are some good tips regarding content to possibly include. (Just, y’know, avoid doing the robot thing. I get 50+ PRs on a good a day (on a bad day, I get more), and many of them look identical in structure and that’s a FIVE-ALARM WARNING to bin every one of the things.) In terms of format, though, speaking as a journo, sending me a Word document is a really great way to get me to immediately delete your PR. Send the text in the *body* of the email, so I can easily access and search it later. Do not make me load up some other app or even fire up Quick Look to view your copy. (Also, a *huge* number of devs I know don’t use Word these days, threatening any fancy formatting. PDF’s fine for an online press kit, though—no problems copying and pasting from it, assuming you’ve done the PDF right.) And I’m sure this sounds grumpy as hell, but when you’re bombarded by email, you need to be able to filter things very quickly. Writing the story. Start with a good lead — a sentence that grabs your reader and makes her want to read more — for example, The fourth grade class painted one wall of their classroom with a picture so strange that their teacher immediately sent for the principal. Write your story plainly so that everyone can understand it. If possible, use quotes in your story to make it more interesting – for example, The flames were so hot I thought my helmet would melt, the firefighter said. And remember to answer the questions Who – What – When – Where – Why – How.
Write the body copy. The press release should be written as you want it to appear in a news story. And remember this: most journalists are very busy, and don’t have time to research your company’s big announcement, so much of what you write for your press release will be what the journalists use in their writeup of your big event. This paragraph is for giving your reader clear reasons why they should write about your band and review your album (and just saying because it’s a great album won’t cut it). Use this paragraph to mention things like:

5. The boilerplate statement follows the body. The boilerplate is a chunk of text that can be used repeatedly, just as an About page is used on a website. This is where the details about your company are listed including; the services you provide, and perhaps names the key executives as well. It can contain your mission and vision for your company. This is the public persona you wish to project for your company.
In the next paragraph, include a biography about the speaker or group that is coming to campus. This may begin with a short description of the person’s job and additional title information, and about the company/organization they are with. If your event is a performance, also would be appropriate to include a description here.
When an editor looks at your piece, he/she is thinking, from the first second, about how long it’s going to take them to get it to print. If your work is full of errors, lacking content, or just needs to be revised, they’re not going to waste their time. So make sure you have good grammar, all the basics, and have something to write about.
