Hi Keith, thank you for the comment. This is all great insight and I appreciate you taking the time to post it here. Because both you and Craig posted similar comments, I want to make sure I clarify the intention of this post. This post is meant as a guide for how to correctly format a press release for general distribution using AP Style guidelines and other best practices. It is not meant to provide tips for how to contact writers. As you allude to in your post, and as I preach on my site, sending a template-driven message to every journalist you reach out to, is not a good idea. Each message you send should be personalized and tailored to the interests of that journalist’s audience. In regards to what format you use for your press release. Journalists have their preferences as to which format they like to receive press releases in. I’ve worked with writers that span the gamut on this. That said, I think your points about copying and pasting the text into the body of your email over a attaching a Word document are completely valid. When I recommended Word in the previous comment, I was speaking to the specific context of general distribution, i.e., when you submit your press release to sites like Games Press. (Games Press requests Word document attachments as its preferred method to receive press releases in it’s submission instructions to avoid running into copying and pasting issues: http://www.gamespress.com/about_howtosubmit.asp). Looking back on my comment, I think I could have been way clearer though 🙂 Apologies for that. Again, I appreciate both your and Craig’s input here. The first paragraph of your release should cover the who, what, why, where, and how of your new launch, update, or development. Reporters don’t have a ton of time to sift through details and fluffy background information — they just need the facts that’ll help them tell your story to someone else from a position of authority. 
Only a few large newspapers could afford bureaus outside their home city. They relied instead on news agencies, especially Havas (founded 1835) in France and the Associated Press (founded 1846) in the United States. Former Havas employees founded Reuters in 1851 in Britain and Wolff in 1849 in Germany; Havas is now Agence France-Presse (AFP).[2] For international news, the agencies pooled their resources, so that Havas, for example, covered the French Empire, South America and the Balkans and shared the news with the other national agencies. In France the typical contract with Havas provided a provincial newspaper with 1800 lines of telegraphed text daily, for an annual subscription rate of 10,000 francs. Other agencies provided features and fiction for their subscribers.[3]
Don’t send these image files as attachments as they run the risk of being blocked by internal servers as spam. It’s better to include a line above the headline saying something like, “High resolution photos available from or ”.

OK, so that’s all great, but just what, exactly, is considered newsworthy these days?  Online news sites and search engines have made it easier for anyone’s news to grow legs, but what if you want to increase your opportunities to make an impact?  Try answering these questions when you sit down to write your next press release:
If you’re publishing your press release on a distribution service like PR Newswire or Business Wire, avoid publishing it on the hour (e.g., 1 p.m., or 3 p.m., or 5 p.m.). The reason? Most companies schedule their releases to go out on the hour, which means if your release goes out on the hour too, it’s more likely to get lost in the shuffle. Instead, try going with a more distinct time (e.g., 1:12 p.m., or 3:18 p.m., or 5:22 p.m.).
Press releases tend to follow a standard format as it makes it easier for readers to get the details they need in an efficient way.  But before you can just churn one out, you need to do a little prep work.

The first paragraph should sum up your story in about 50-100 words. You don’t have very much time to get to the point so make every word count. Avoid including boring self-promotion and focus instead on the 5 W’s: Who, What, Where, When and Why. These questions will get to the point of your story in no time.

Our most recent press release, which actually went out today, has been picked up by Business Insider and Yahoo. Successful press releases include information that is well written, worth sharing, and provides value to those reading. Craft a catchy title to garner the attention of notable sources and publications. On the other hand, get to the point with your actual press announcement while remaining professional and communicating an effective message. Be sure there are no grammatical issues or spelling errors. Last but not least, always include relevant contact information so you can be reached by potential consumers, partners, representatives, and anybody else interested in the contents of your press release.
Use appropriate keywords in the headline and body of your release, but don’t overstuff. Remember, search engines are known to change the rules when it comes to using keywords, so make sure you follow the most current search engine guidelines.
Don’t send large bulk emails. Some channels don’t want any email attachments or accept press releases only via their website. Find out about their preferences and send either individual emails or BCC’ed emails to small groups with similar requirements. When approaching a content producer individually, let them know that you’ve actually read or watched their work and understand the subjects they cover. Be genuine, not a suck-up.

The press release is also effective because of its multifaceted storytelling. It highlights a public figure’s connection to the local community (the same area served by our client). It balances writing about the dentist and his practice with the famous person who became his patient. And it uses multimedia: Graham spoke about his experience with our client on-camera and appeared in a number of pictures in the client’s office, which enriched our press release with unique content that is worth more than a thousand words.

Event:  outline the who, what, when, where and why of an event with the goal that the media will talk about it and/or attend themselves.  Example headline:  “ABC Company’s Annual Golf Tournament for Local Schools to Take Place on Friday, June 7.”
