Write the body copy. The press release should be written as you want it to appear in a news story. And remember this: most journalists are very busy, and don’t have time to research your company’s big announcement, so much of what you write for your press release will be what the journalists use in their writeup of your big event. Whatever you want them to say, this is where you put it.
LetterPress Chocolate, the first bean to bar chocolate maker in Los Angeles, has partnered with Ucayali River Cacao in Peru to help farmers move away from Coca production to Cacao. Coca is processed into cocaine and is a very dangerous venture.
The lead, or first sentence, should grab the reader and say concisely what is happening. For example, if the headline is Careen Publishing releases new WWII novel, the first sentence might be something like, Carpren Publishing, Ltd., today released their first World War II novel by celebrated writer Darcy Kay. It expands the headline enough to fill in some of the details, and brings the reader further into the story. The next one to two sentences should then expand upon the lead.
Thanks, Kari! You’ve confirmed what I thought. I’m a (very) small business on a shoestring startup (or maybe just baling twine) but with a unique, timely and as far as I know, unheard of product. Waiting to be discovered is a bitch so I want to make some noise that will be heard. As far as one-on-one emails to reporters, do I start at the top with GMA? 😉
Newsroom fax machines and reporters’ inboxes are flooded on a daily basis with press releases from companies, government agencies, non-profit groups, and even average citizens trying to get their neighborhood plight noticed. If you send in a press release that’s riddled with grammatical errors, buried in a convoluted e-mail, or completely irrelevant to the reporter’s coverage area, you might as well be tossing your press release down a sewer drain. If you deluge a news organization with unprofessional or uninteresting releases, your chances of ever getting favorable news coverage are zero-to-slim.
This press release from Samsung features their new Smart TV designed to unite entertainment with elegant art display. When a product lands on Oprah’s wish list, the “Oprah Effect” often occurs. By virtue of the TV mogul’s popularity, the product gets instant brand recognition and an increase in sales. Definitely worth a press release, and it’s something that the company can continue to talk about for a long time.
Ideally, quotes will be from key stakeholders in your company including your executive team, project leads, or those directly impacted by your announcement. Quoting key figures and authorities underlines importance of your development. The chosen quote should shape your narrative and emphasize the core of the announcement. Don’t ask everyone in your office for a comment or feel compelled to quote all 25 people included in the acquisition — pick one or two critical spokespeople and focus the quotes around their unique perspective.
Just in time for the Chinese New Year gift-giving season, customized gift wrap is available with the purchase of each Widget-X and Widget-Z phone. Both phones also let students and teachers take advantage of education level pricing which is also available in the U.S.
eReleases, PR Web, and PR Newswire all provide this service. If this is your only goal, then there are a number of services such as PR Underground, Send2Press, or SBwire that will do this for you for significantly less money. PR Underground, for example, can distribute your article to Google News and over 50 other websites for as little as $39.
Articles should be as up-beat and positive as possible. Avoid phrases like following the resignation of the previous chairman or after a period of inactivity. A journalist could decide to investigate those matters instead of reporting what is in the press release and—–even if the circumstances were completely innocuous, for instance if the chairman had resigned due to ill health—–the resulting copy might not be to your liking.
Too many quotes are put into press releases simply to acknowledge the presence of a CEO, partner, sponsor, client, etc. There’s nothing wrong with having endorsements, just make sure they say something worthwhile.

This paragraph is known as the boilerplate — an old newspaper term meaning a block of standard text that’s used over and over again (e.g. the explanation of symbols on the stock price page). In this case, it’s text that you might use at the bottom of all your releases.
Describe what your company does in clear, plain English, include a link to your company’s homepage early on, and make your boilerplate succinct and straightforward. If you cite data, include a reference link for the data source, and make sure every name in the release has an associated title and company as well.
I not sure if it’s still worth placing PR on Market Wire and PR Web. Looking the organic traffic data, it seems that these PR sites as well as most of the PR sites out there were heavily penalized by Google’s recent algorithm updates. It’s not worth the money although you may reach a large audience because of their distribution services.
