media alert vs press release press releases newspapers

Hi Keith, thank you for the comment. This is all great insight and I appreciate you taking the time to post it here. Because both you and Craig posted similar comments, I want to make sure I clarify the intention of this post. This post is meant as a guide for how to correctly format a press release for general distribution using AP Style guidelines and other best practices. It is not meant to provide tips for how to contact writers. As you allude to in your post, and as I preach on my site, sending a template-driven message to every journalist you reach out to, is not a good idea. Each message you send should be personalized and tailored to the interests of that journalist’s audience. In regards to what format you use for your press release. Journalists have their preferences as to which format they like to receive press releases in. I’ve worked with writers that span the gamut on this. That said, I think your points about copying and pasting the text into the body of your email over a attaching a Word document are completely valid. When I recommended Word in the previous comment, I was speaking to the specific context of general distribution, i.e., when you submit your press release to sites like Games Press. (Games Press requests Word document attachments as its preferred method to receive press releases in it’s submission instructions to avoid running into copying and pasting issues: http://www.gamespress.com/about_howtosubmit.asp). Looking back on my comment, I think I could have been way clearer though 🙂 Apologies for that. Again, I appreciate both your and Craig’s input here. It’s great hear this feedback straight from journalists.
There’s a trick to writing press releases, though. Your message has to be newsworthy without sounding like a blatant advertisement. The release is written in an unbiased format so the reader trusts the information to be accurate.
Submitting a press release is self-explanatory and somewhat repetitious. Once you submit a press release at one of my recommended sites, you will realize that the other sites have a similar submission process. Depending on how many press releases that you intend to submit (and how different they are in content from one another), you may want to narrow down your selection.
We could not be more pleased with the recent distribution of our press release via iReach. The reach, combined with timing, made our product, Facebook AETracker, receive fantastic coverage throughout the web. We were overwhelmed by the leads — which we cannot complain about! This one ranks among the best marketing dollars we spent ever when it comes to ROI.
When composing your press release, collaborate with team members and other writers you trust. Ask for feedback. Send test emails with different subject lines to ask your team to rate how they responded to reading them. It’s also good to have someone other than yourself to proofread the final version.
Although free press release distribution websites may seem like an easy public relations tactic, PR experts generally recommend avoiding them or at least being extremely leery of them. Paid news distribution services offer far better results, assert PR and SEO gurus.
If you want reporters to cover your news, you’ve got to know what it is that they’re covering at the moment and reach out to them directly to let them know what you’ve got going on. Acceptable methods of outreach include:

6. Finally, the press release should include contact information. This is the company name, telephone number, address (if you wish, it is not necessary in a press release), the company’s website address, the name of the key person to contact about the release, and an email address.
1. Your release gets posted on PRWeb, PRNewswire or whatever press release distribution service(s) you choose. One-off, DIY national press release distribution via these services costs around $400. PRNewswire has a nifty option that puts your press release headline and photo on a giant screen in Times Square for just long enough for them to capture the image, which you can use in future marketing materials. This costs substantially more.
