Regardless of whether you’re using free PR services or premium options, the above sites are leaders at what they do, with extensive networks, simplicity in the submission process, and additional guides and resources to help clients create the best possible content and maximize the impact of each PR they distribute.
Most press releases are succinct at just a page long. Two pages tops. Ultimately, companies want to provide enough information so that news outlets have sufficient material for publishing their own stories about whatever the company is announcing in the release.
When you do your research, identify working patterns and deadlines. Many weekly local papers, for example, have a Tuesday deadline for Thursday publication. So, you might be wise not to issue a time-sensitive press release to that audience on a Wednesday.
The body of your press release should expand the content of the first paragraph. Each paragraph should be no more than 3 or 4 sentences. Break up the body accordingly, but make sure that each paragraph is cohesive and flows well from the preceding paragraph.
Press release examples are business templates which can assist you greatly in writing a press release. The above-given sample press release templates are very useful and should you choose to use them as references, you will be able to write an effective press release easily and in a short time.
Not only is the press release itself important, but who you’re communicating with is very important, Pommerehn says. It’s a major pet peeve for journalists when the PR person or the person doing the press release does not do their homework.
Hi Emmy. I just saw your video on marketing. So good! It filled a few gaps I hadn’t covered in my research. But one thing is still blurry to me. I would ask you : Where, in an email to the review sites, should we present the Press Release? Say I write to Toutcharcade. My first thought is I would be personal with them, talking to them about my game, my team… And if so, would I copy paste the Press Release below, in the email? Or are we supposed to place that PR as attachment to the email (just like the screenshots and Youtube trailer). Also is there a particularity that differs a review site to an article site? Many websites seem oriented towards revewing only. I’m guessing we need a different approach with them, without a PR. Sorry for the long post. Thank you!! Dominic
At the bottom of your press release should be the contact info for the person fielding press queries for the album, even if this information is also at the top of your page. Set this information apart from the body of your press release in the same manner as you did the header – again, a box around the text works great, as does a larger type size or bolding/italicizing the text.
Maplewood area banks loaned less than $1 to people in the primarily minority neighborhoods of Maplewood for every $5 they loaned to people in wealthier neighborhoods [what], according to a study released yesterday [when] at a press conference [how] held in front of a downtown bank [where] by the Maplewood Community Reinvestment Coalition [who].
Hi Keith, thank you for the comment. This is all great insight and I appreciate you taking the time to post it here. Because both you and Craig posted similar comments, I want to make sure I clarify the intention of this post. This post is meant as a guide for how to correctly format a press release for general distribution using AP Style guidelines and other best practices. It is not meant to provide tips for how to contact writers. As you allude to in your post, and as I preach on my site, sending a template-driven message to every journalist you reach out to, is not a good idea. Each message you send should be personalized and tailored to the interests of that journalist’s audience. In regards to what format you use for your press release. Journalists have their preferences as to which format they like to receive press releases in. I’ve worked with writers that span the gamut on this. That said, I think your points about copying and pasting the text into the body of your email over a attaching a Word document are completely valid. When I recommended Word in the previous comment, I was speaking to the specific context of general distribution, i.e., when you submit your press release to sites like Games Press. (Games Press requests Word document attachments as its preferred method to receive press releases in it’s submission instructions to avoid running into copying and pasting issues: http://www.gamespress.com/about_howtosubmit.asp). Looking back on my comment, I think I could have been way clearer though 🙂 Apologies for that. Again, I appreciate both your and Craig’s input here. It’s great to hear this feedback straight from journalists.
PR Newswire has increased their pricing (again). A 500 word press release is now $1,000 plus membership. Neil Brown. Not sure about the weird reference, but PRweb costs $200-$300 each with a quantity purchase, and Business Wire costs $500/each but is required for public companies.
Effective? Yes, this helped my book to be picked up by bookstores and websites from here to Russia, China, Australia, etc. By including a description of the book in the press release, we were able to get people interested in the novel. I’m even in my local Barnes & Noble. It was a great way for me to debut my writing and get out there in publishing world!
Here’s a link to my favorite press release that I wrote for The Bethel Inn Resort’s 100th Anniversary a couple years ago. Celebrating an anniversary is always a newsworthy event, especially if it hits the century mark. I particularly like this release because it brings into context other major events of 1913. Carrying on the major events theme of 1913, the resort posted a This Day in History-1913 at the front desk. I discovered that the first crossword puzzle was published and that Robert Mondavi was born (parking a wine special in the tavern), among other exciting happenings, including the institution of the dreaded federal income tax.
Twitter is a good place to start. Find writers who cover similar productions to yours. If it’s a sci-fi, find the sci-fi enthusiasts. Get to know the content producers. Read / watch their material. Share their material on social media (it goes both ways!). Essentially, you should build relationships with people who have extensive (real) online reach. Check out the Twitter lists on the bottom of this page.

Headlines written in bold! A bold headline also typically uses a larger font size than the body copy. Conventional press release headlines use the present tense and exclude a and the, as well as forms of the verb to be in certain contexts.
If it were easy to write a press release, there would be no need for press release writing services, press release writing articles, books, and newsletters. Press release writing is definitely not easy.

I hope you’ll refer to this list often, help me keep it up to date, and share it with other SEO’s, online marketers, and DIY business owners. If you’d like to submit a site for review or suggest a correction, please contact me. I’d love to hear from you!
Is there a benefit to paying for a press release vs. using the free services?  Depends on your pocket book and the topic, your competition, the time of year, your reputation, and the list goes on.  Opinions are on both sides of the fence.  In the end, a press release is only one of dozens of activitities you will include on your marketing calendar.
RULE #5: Contact your top outlets personally. In addition to sending a press release, personally contact the reporters that you really want to cover the story. Send them something personal. You might even want to rewrite the press release to fit their beat.
My favorite way to get something really done is to send a release along with a simple plant with a note: “Hope this plants an idea in your mind!” It sort of never fails, and the reporter is sure to remember you.
Here are a handful of other free distribution sites that you can use for SEO purposes. My preference is to use sites with a Page Rank of 4 and above, and I don’t usually bother with PageRank 3 and below sites due to time constraints. Your situation may be different.
To maximize the reach of each social media post, build cross-promotional partnerships. This means making a pact with fellow filmmakers or bloggers/vloggers to share each other’s posts. People are much more likely to share posts that have already been shared a few times. You can also mobilize your production team to do this, but it usually works best among parties that are each promoting something and spend a lot of time online.
This press release company is based in Melville, New York, and while they do not include any details on their owners or founders, they have a direct number and address on their contact page for their world headquarters.
If we concisely talk about writing the press release, then it should read like a news story written from the perspective of a third person in an informing tone. Also, the sources and quotes must be cited with the information to make it more authentic and genuine in the eyes of the audience. Most of the companies try to keep the press releases succinct while some of them are lengthy. Regardless of its length and size, a press release should cover the entire information and should have enough content to convey the complete and clear message.
The beginning of a press release — just as with a magazine article, book or promotional pamphlet — is the most important. A strong headline (and, for that matter, email subject line when you send out the pitch) will pull in journalists seeking good stories. Your headline should be as engaging as it is accurate.
When emailing a press release, do not make the subject line of your email press release. You will only blend into the crowd. Get the editor’s attention by making the subject line your grabber headline, for example, Brand Co. wins $30 billion government contract.
Your CTA needs an action word (i.e., sign up or view) that prompts the reader to take the next desired step. Use language that creates urgency, such as Today or Limited Supply. Decide what action you want your readers to take, and craft a CTA that will nudge them in that direction.
However, a well-timed press release on the picture put this little book of….umm…whatever…right into the limelight.  This caused the book sales to skyrocket and even had Rob Gronkowski himself do a fake TV trailer for a “Gronking to Remember” movie with HBO’s Funny Or Die.  (Not shown here because it’s pretty inappropriate – I’ve got standards.)
The Small Business Encyclopedia defines press releases — also known as news releases — as brief, printed statements that outline the major facts of a news story in journalistic style [source: Answers.com]. A press release should read like a news story, written in third-person, citing quotes and sources and containing standard press release information.
