Experts recommend that your release should also include at least one quote in the body. The quote should come from someone knowledgeable about the announcement being made, such as a product manager if you’re announcing a new invention, or a top executive if announcing company wide changes. The quote can also be used to explain how your announcement makes you stand out from other competitors, even if you don’t mention them by name.

So what do you need to write your press release? Send your release by email, and use formatting sparingly. Giant type and multiple colors don’t enhance your news, they distract from it. Put the release in the body of the email, not as an attachment. If you must use an attachment, make it a plain text or Rich Text Format file. Word documents are acceptable at most outlets, but if you are using the newest version (.docx), save down a version (.doc). Newspapers especially, are on tight budgets now, and many have not upgraded. Use PDF files only if you are sending a full media kit with lots of graphics. Don’t type a release on letterhead, then scan it and email a jpeg of the scan––that’s a waste of your time and the editor’s. Just type the release straight into the email message.

SUBSEQUENT PARAGRAPH(S): The rest of the press release should contextualize and provide additional information about the finding. Why is it exciting or unexpected? Nitty-gritty experimental details should be left out in favor of describing how the finding advances scientific knowledge, reinforces a key idea, or provides a new method. Importantly, however, the finding must not be overhyped or oversold. A brief quotation from a researcher involved in the work or from a colleague familiar with the importance of the finding can also be included, but be sure that they agree to be quoted.
